What we collect, and what we never publish

The beta list

If you join the beta list we store your email address, an organisation name if you give one, and which page you were on when you joined. That is the whole record. We use it to send you an invitation and to work out which part of this site is doing its job. We do not sell it, rent it, or pass it to anyone else, and there is no newsletter attached to it.

Ask us to remove you through the contact form and we will, without asking why.

Running a tournament

A tournament director’s organisation owns the information in their tournament: the teams, the schedule, the scores, and whatever they collect at registration. We hold it to run the software for them. We do not sell it or use it to advertise to anybody.

Entry fees, where they are taken by card, are processed by Stripe against the organisation’s own Stripe account. Card numbers never reach TournaPilot at all.

Players, and children in particular

Player information is private by default, and that is a property of how the software is built rather than a setting somebody has to find. Public pages show teams, not players. Dates of birth, guardian contact details, phone numbers, email addresses and uploaded documents are never on a public page.

Every public page is served by a function that names the columns it returns, and an automated check fails our build if any of those functions so much as references a table holding a person. That is a deliberately blunt instrument: it means a future change cannot quietly make a child’s details public.

We do not ask for birth certificates and the software has nowhere to put one.

Email

Messages about a tournament you are in — a schedule being published, a game moving, a game being called off — are part of the service and are sent because the event concerns you. Anything that is not about a tournament you are in is optional and can be switched off without affecting the first kind.

Cookies

The app sets a cookie to keep you signed in. The public pages and this site do not need one. We do not run advertising trackers.
